How to respond to negative reviews, with examples

By the Seyclops team · Updated 2026-10-24

The short answer

Reply within 48 hours, thank them, own the specific problem without arguing, and move the details offline with a name and a phone number. Future customers read your reply more than the complaint.

Why your reply matters more than the review

People choosing a local business read the worst reviews first, then they read how the owner answered. A calm, specific reply shows how you treat customers when something goes wrong, which is exactly what they are trying to find out.

The 4-step reply

  1. Thank them for taking the time, by first name.
  2. Own the specific problem in one sentence. No excuses, no blame, no defending yourself in public.
  3. Say what you changed or will do, if anything changed.
  4. Take it offline: give a real name and a direct phone number or email.

Examples you can adapt

The technician was late

Hi Dana, thank you for telling us. Arriving two hours late without a call isn't the service we promise, and I'm sorry. We've changed how we update customers when a job runs over. I'd like to make this right: please call me directly at (555) 010-2030. Mike, owner

"Too expensive"

Hi Chris, thanks for the honest feedback. We quote every job up front so there are no surprises, and I'm sorry the price wasn't what you expected. I'm happy to walk you through what was included: call me at (555) 010-2030. Mike, owner

A review that isn't about your business

Hi Sam, we're sorry about this experience. We couldn't find a visit under your name, so it's possible this was another company. If we did work for you, please call us at (555) 010-2030 so we can help.

Then flag the review for removal in your Business Profile. Google removes reviews that break its policies, such as spam, conflicts of interest or content about a different business. It does not remove honest negative reviews.

What not to do

Turn one bad review into a non-issue

A single 1-star review hurts most when it sits among a handful of old reviews. The real fix is a steady flow of new honest reviews: ask every customer after every job. See how to get more Google reviews.

Frequently asked questions

How fast should I reply to a negative review?

Within 48 hours. A quick, calm reply shows future customers you take problems seriously.

Should I apologize if the customer is wrong?

Thank them and acknowledge their experience without admitting facts that are not true. Keep details offline.

Can I get a negative Google review removed?

Only if it breaks Google policies, such as spam, conflicts of interest, hate speech or content about another business. Flag it in your Business Profile.

Can I offer a discount to change a review?

No. Offering anything in exchange for changing or removing a review breaks Google policy and the FTC rule on reviews.
